Grow the agency, not the office.

Less to manage. More time for care.

One system for your whole agency, and it does the tedious parts for you. Recurring visits schedule themselves, caregivers get a reminder before every shift, and when someone calls out, the open visit goes straight to caregivers who are free and qualified. Every visit is verified, invoices are drafted on schedule for you to review and send, payment reminders go out on their own, and families are told when care starts and ends. You step in only when something needs you.

For independently owned agencies with 5 to 50 caregivers. Any state.

Tuesday

Four visits on the schedule. Two finished, one underway, one this afternoon.

Example
  1. 8:00 AM Personal care R. M. with A. T. Finished and locked
  2. 9:30 AM Companion care J. K. with L. P. Captured offline, synced
  3. 11:00 AM Personal care D. S. with M. O. Running late
  4. 2:00 PM Respite care E. W. with A. T. Open, 2 caregivers can cover

Needs you

E. W.'s caregiver called out of the 2:00 PM visit. Two caregivers are free and qualified to cover it. Choose who gets the offer.

What happened behind the scenes
  • Location captured at the door

    A. T. checked in at R. M.'s address, and the location was recorded with the check-in.

  • Captured offline, synced

    L. P. had no signal. The app kept the visit on her phone and sent it when the signal came back.

  • Six facts on every visit

Who received care, who gave it, the service, the place, the date, and the times in and out.

  • Family view: same record

    R. M.'s family reads this same visit in the family portal.

  • Edit visit

Finished visits have no edit button. Corrections go through review, with a trail.

  • Running late alert

    M. O. had not checked in by the 11:00 AM start time, and you were told while the visit was still underway, not the next day.

  • Shift-fill offer

The 2:00 PM visit was offered to caregivers who are free and qualified for it. You choose who gets it, and the change is recorded.

  • Invoice drafted

    R. M.'s visits for the week are on a draft invoice, ready for you to review and send.

Example only. Every initial, service, and time is invented. Offline capture requires a device screen lock: a PIN, pattern, fingerprint, or face unlock.

A caregiver calls out. A visit gets missed. The family calls. Then everyone argues about hours nobody can check.

Monday

A caregiver calls out at seven in the morning. You spend the next hour calling down your list, looking for someone who is free and qualified to cover the visit.

Tuesday

A daughter calls. Was anyone there on Friday afternoon? You tell her you will check and call her back.

Thursday

A caregiver's hours do not match your notes. Neither of you can show where the difference came from.

Friday

Invoices are due out. You rebuild each client's week from timesheets and text messages, and one family still has not paid last month's.

None of that is care. It is the work around care, and it fills the day.

Schedule the week. Cover the call-out. Bill the family.

Three jobs that fill an owner's week. Open any one to see what Evvidence does behind it.

Schedule the week

Set a client's repeating visits once. Evvidence keeps the schedule filled in up to 90 days ahead, and each caregiver sees the week on their phone.

Behind the scenes
  • Pick the days of the week and the times. Evvidence adds the visits and keeps adding them as the weeks go by.
  • See the schedule by day or by week, for the whole agency or for one caregiver.
  • A caregiver cannot be booked for two visits at once.
  • Record each caregiver's availability, and Evvidence flags a visit that falls outside it.
  • For each client, Evvidence suggests caregivers by skills, language, availability, and who has cared for that client before. You decide.
  • Caregivers get a phone reminder before each shift, 30 minutes ahead unless they change it.

Cover the call-out

A caregiver reports a call-out from the app. You see who is free and qualified to cover, send the offer, and choose who takes the visit.

Behind the scenes
  • You get an email when the call-out is reported.
  • Evvidence lists the caregivers who can cover: the right skills for the client, available at that time, and not already on another visit.
  • Caregivers get the offer as a notification in the app and answer from their phone: the whole visit, part of it, or not available.
  • You confirm who takes the visit, and the change is recorded.
  • If a visit starts late or is missed, you get an email and a flag on your dashboard while it is still happening.

Bill the family

Each client's invoice is drafted from the visits that happened. You review it and send it, and the family pays online.

Behind the scenes
  • Choose weekly, every two weeks, or monthly for each client. The draft is ready on that schedule.
  • Each line is one finished visit: the service, the date, and the hours worked, at the rate you set for that client or service.
  • Send it yourself after a look, or switch on automatic sending for the clients you choose.
  • The family gets the invoice by email as a PDF, and in the family portal.
  • Once you connect your Stripe account, families pay by card or bank transfer and can turn on autopay.
  • Unpaid invoices get email reminders before the due date, on it, and after it. You can change the timing.
  • A family that falls behind can pay over time on a payment plan you set up.
  • In the same portal, the family reads the visits behind the bill, and gets an email when care starts and ends.

The work around the visit, organized by the day.

Evvidence handles the daily coordination that keeps your agency running.

Only with a verified record

What the verified record makes possible.

Finished visits stay finished
A correction is a new reviewed entry, and the original stays readable.
Every invoice line is a real visit
Each line on a family's invoice is one finished visit: the service, the date, and the hours worked.
The family sees what the office sees
One record, not two, and no phone call needed to confirm a visit.
Works with no signal
A basement or a rural road does not cost you the record, as long as the caregiver's phone has a screen lock set.

Questions owners ask

Will my caregivers use it?

They check in and out from their phone at the client's door, and the visit's tasks are on the same screen. It works with no signal, as long as the caregiver's phone has a screen lock set. You can try the caregiver app yourself in the demo, with airplane mode on.

What if a visit is recorded wrong?

You correct it and give a reason. The correction sits beside the original, showing who made it and when.

What happens when a caregiver calls out?

The open visit is offered to caregivers who are free and qualified for it. You choose who gets it, and the change is recorded.

How do I find out about a late or missed visit?

You get an email and a flag on your dashboard when a caregiver has not checked in 15 minutes after the start time. You can change the 15 minutes.

Do invoices send themselves?

Evvidence drafts each client's invoice on the schedule you pick: weekly, every two weeks, or monthly. You review it and send it. You can switch on automatic sending for any client.

How do families get their invoice and pay it?

By email, as a PDF, and in the family portal. Once you connect your Stripe account, they can pay online by card or bank transfer.

How do caregivers hear about an open visit?

They get a notification in the caregiver app and answer from their phone. You confirm who takes the visit.

How does Evvidence help with payroll?

Export hours to QuickBooks, Gusto, or ADP, then run payroll in the system you already use.

You take care of people. Evvidence handles the schedule, the call-outs, and the invoices.

Fourteen days free on any plan, and your caregivers work from the iPhone app.
